BE SEEN website and checker privacy information

About this information

This page explains the website, business checker and incoming enquiry forms. Some arrangements are still being checked, as explained below. It is not a statement that our privacy review is complete. It does not cover customer project delivery or separate marketing activities.

When you use the checker

We use the business name and area, or website/social-profile URL you enter, to find and assess public business information. Reports can include business details, contact and social information, evidence, source links, scores and results marked unknown. Public business information can identify individuals, including sole traders.

Results appear on screen without an email or phone lead-capture requirement. Running a check is not a request for a sales call. If extra business details are needed to distinguish a match, that is separate from asking you to request contact.

When you contact us

The main contact form requires your name, business name, email address and message. Your phone number and service selection are optional. We use these details to understand and respond to your enquiry. The form also sends routing information and a spam-trap field.

A callback is optional and requires your name, a valid phone number and consent. Your request includes the associated checker results and a request reference so we can discuss your request. Without those required details, that form cannot submit a callback request. You can contact us by email or phone instead.

Services that handle information

Cloudflare hosts the website and checker. SerpApi supplies search results. FormSubmit.co handles both the main contact form and callback form, sending submissions to our Google Gmail mailbox. Information is therefore processed by these services, not only by BE SEEN.

Storage and technical records

FormSubmit.co says its submission archive lasts 30 days. The copy delivered to our mailbox is separate. SerpApi says search data is retained for 31 days.

Cloudflare Workers request logging is enabled, with query-string redaction configured. This does not mean that nothing is stored. Its currently documented Workers Logs retention is up to seven days; that is not a statement about every Cloudflare record.

The callback system keeps coded identifiers, timestamps and request status to prevent duplicate requests for 24 hours. Those identifiers are derived from request, phone/business and IP information; they are not anonymous. The application has expiry-based cleanup, but we have not verified deletion timing across the provider's systems and backups. Expiry of a report or callback reference does not itself delete copies of its contents.

Our unsuccessful-enquiry retention process

We have selected 30 days from the last meaningful contact for unsuccessful enquiries. The process to apply that period is not yet in place, so it is not currently a guaranteed deletion deadline. This period is separate from customer, financial, complaint and legal records, which need their own retention decisions. You can contact us about deletion using the details above; a request will need to be assessed in its circumstances.

Checks still outstanding

We are completing the record of the legal basis for each activity, the retention process, and confirmation of the suppliers' applicable processing and international-transfer arrangements. SerpApi is based in the United States. We have requested further documents from FormSubmit.co and SerpApi; their replies are outstanding. We are not yet able to confirm all overseas processing locations and safeguards.

We also need to complete the check of cookies and CAPTCHA behaviour on the third-party form journey. We are not claiming that the entire journey is cookie-free. These outstanding checks are not resolved simply by publishing this information.

Your choices and rights

You can ask about your information or raise a privacy complaint using the email or phone above. Depending on the circumstances, you can request access, correction, deletion, restricted use or a portable copy.

Your right to object

Where we rely on legitimate interests, you can object to the use of your personal information. Contact us using the details above and explain your objection.

Withdrawing callback consent

You can withdraw your callback consent by contacting us by email or phone. Withdrawal does not affect the lawfulness of earlier processing. Tell us enough to identify the request, but do not send unnecessary sensitive information.

You can also complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/ .
